What is a pledge proof?

Pledge proof is evidence that a pledge has been paid to a charity.

Pledge proofs need to be a screenshot or copy of your bank statement, paying slip (if it is a cash transfer), CAF account or a photocopy or picture of the cheque, or the donation confirmation email sent to the pledger if they have paid their pledge via online donation platforms, showing the following:

  • Your charity’s name
  • The pledger’s name, which matches the name or organisation they submitted their pledge as
  • The amount that has been paid in
  • The date that the pledge was paid in
  • If the pledger is paying by cheque, please upload a photocopy or picture of the cheque before it is cashed in
  • For pledge payments made on other donation websites/donation pages on the charity’s own website, you should ask the pledger to forward you the donation confirmation email and upload a screenshot of the email, making sure to include the email timestamp.

For CAF payments:

  • Charities should upload a screenshot of their CAF account showing the payment, with the pledger’s name or organisation they submitted their pledge as, the amount that has been paid, the date that the pledge was paid.
  • Or you should ask the pledger to forward you the donation confirmation email from CAF, and upload a screenshot of the email, making sure to include the email timestamp.

You must upload your pledge proofs by the stated deadline for the campaign.

Charities must not upload Excel files as proof of payment (we cannot approve Excel files or screenshots of Excel spreadsheets as proof of payment).
